Housing offer
When making housing offers, we take into account the urgency of the need for an apartment, the applicant’s assets and financial situation, as well as the time they have waited.
When will I receive an offer?
Hoas has no queue number system for housing applications. At the beginning of terms, the first priority are always first year students moving in from outside the capital area. This is why the person who has waited the longest may not always be the first to receive an offer.
We cannot give estimates on the time you may have to wait or when we may be able to send you an offer. The apartments that are rented out have a notice period of one month, so the availability of apartments is known to Hoas only approximately one month in advance. Due to this, we cannot know in advance when or how many apartments will become available, or what their location may be.
Notices of termination, apartment offers and cancellations of offers are processed on a daily basis, so the availability situation also changes from day to day. We aim to offer apartments to new tenants as soon as they become free. Please note that your offer may come at a very short notice.
The demand for housing varies according to different times of the year. It peaks at the beginning of terms, and the apartments that are available then will be rented out quickly. Most years, late spring and the summer season are the times when there are more apartments available compared to the number of applicants. We cannot guarantee an apartment for all applicants.
Hoas will consider your current notice period when requested. However, please understand that waiting for a suitable apartment to be free may add to the waiting time.
How will I receive my offer?
Hoas housing offers are sent by e-mail from noreply@test.test.dev.hoas.fi. The e-mail contains details of the offered apartment and a link to applicant services.
The housing offer concerns only the apartment mentioned on the offer. You can either accept or reject the offer – the offer cannot be changed to concern another apartment.
It is your responsibility to make sure that your contact details in the application are correct and up to date. You must apply with an email address you check regularly and make sure that Hoas is in your safe senders list, in order to avoid our messages being lost in the spam folder.
If you have provided incorrect contact details to Hoas and do not get news of your offer in time or at all, Hoas is under no obligation to offer you another apartment.
How to accept the housing offer?
If you wish to accept the housing offer you should log into applicant services and upload the requested documents and pay the deposit (payment details can be found in the e-mail).
After you have uploaded all the requested documents and the receipt of the paid deposit you can accept the offer. We will then send you an e-mail inviting you to sign the tenancy agreement electronically. We will check your right to occupancy based on the study certificates you have uploaded. The housing offer may be cancelled if you are not able to prove your right to occupancy.
How to reject the housing offer?
If you wish to reject the housing offer log into applicant services and reject the offer. You should then update your application to reactivate it. By refusing the unwanted apartment offer immediately, you make the apartment available to other applicants faster. If you do not accept or reject the offer by the due date, the offer will expire, and your application becomes inactive.
Study certificates
When confirming Hoas tenancy agreement all students must provide a certificate of attendance/certificate of enrolment (the certificate must not be more than 3 months old).
- For university students, a transcript of records is also required (a print from the online records is sufficient, as long as it shows your personal details and the courses you have passed as well as the dates and credits earned).
- For new students, a notification of acceptance is sufficient, if no certificate of attendance is available.
- For family tenancy agreements, it is enough to provide a certificate for one of the tenants.
When is the agreement confirmed?
The tenancy agreement is confirmed when all parties to the agreement have signed it.
Kindly note that after signing the tenancy agreement, it cannot be cancelled. Any termination of tenancy must be done according to Act on Residential Leases (AHVL 52 §).
Can the due date be postponed?
If you need more time to confirm the offer, contact our housing services as soon as possible. Please note that it is not always possible to give extra time.
After the specified time, the apartment offer will automatically expire and the apartment will be offered to the next applicant. With Hoas’ apartments, the response time is usually short (a few working days), since there are a lot of applicants.
Deposit payment
Is it possible to view the apartment?
The previous tenant will usually still be living in the apartment at the time when the offer is sent to you. If the current tenant has allowed their contact details to be disclosed, you will find them in the offer and can make arrangements with the tenant to view the apartment.
If the current tenant has not agreed to have their contact details given to you or if the apartment is empty, you cannot view it in advance. Hoas does not arrange viewings. In the offer, you will find more detailed information about the apartment and also a floor plan.
Can I get another apartment offer?
Hoas will offer apartments primarily to applicants who have not received an offer yet. Hence, it is good to remember when refusing the first offer that getting a second one may take a long time.
